Submission steps
Account Creation
- Create an “EasyAcademia” account through www.easyacademia.org
- Activate your account by clicking on the activation link sent to your email.
Note: Please check your Spam folder if you have not received the email within a few minutes. - Log into www.easyacademia.org/esee2025 using the login details you provided at the beginning.
- Click on Start a new submission on the top right to enter the submission process
Steps
- Please click on Start a new submission on the top right to enter the submission process.
- Select Format Oral/Poster Presentation
- Please enter the title of the paper
- Under Authors please input details for each author of the paper. At least one author must be marked as presenter and / or correspondent . Note: Only authors marked as correspondents will receive updates and information regarding the submission.
- Upload the PDF document (template available here) abstract of the paper. The document must not exceed one page in length.
How to Save as PDF

- Select File.
- Choose Save As.
- Select File Format at the bottom of the window. Choose PDF from the list of available file formats.
- Under Summary you may check the details of the submission. If you wish to go back to a section in order to change details, just click on the appropriate step on the left.
- If you are happy with the summary information, please click on Submit Now to finalize the process, and a notification e-mail will be sent to the correspondents.
Poster Presentations guidelines
Please pay attention to the following when preparing your poster:

- We recommend a size of 1188 mm high and 841 mm wide (A0 size, portrait).
- All poster presenters will be presenting in a chosen room/space equipped with poster boards.
- Presenters will stay next to their poster during the assigned session to be able to interact with others about the poster.
- Presenters are responsible for their own posters.
- The poster sessions will be visited by many attendees at the conference. As there will be a considerable
number of posters in this session, it is important that your poster is clear, concise and well laid out for
maximum impact. - Presenters included should set up their posters from the morning of Monday, April 28, 10:15am, until the evening of Tuesday, April 29.
- Each Poster has been allocated a number in the session (available through the program). This number corresponds to the number that will be indicated on the poster panels available and to which you will place your poster.
Set up process:

- On the panels you will find pins that will help you put up your poster
- Please leave the pins on the panel after you put down your poster.
- We will also be able to provide alternative material (double face tape) in case it is required.
- In case of any issue please contact the EasyConferences staff members at the registration desk.
IMPORTANT
Posters left on display after the evening of Tuesday, April 29, will be collected by the conference organizers and recycled.
Oral Presentations guidelines
- Please pay attention to the following when preparing your oral presentation:

Oral presentations will last 15 minutes including Q &A.

The room will be fully equipped with laptop and projector.

Presenters are asked to bring their presentation on a USB in PowerPoint or PDF format. You will need to transfer your file to the computer prior to the start of the session.

Presentation Format: PowerPoint Presentation / Keynote / PDF format should be set to either 4:3 or 16:9 ratio.
