Important: 

After registration for the conference, participants can submit one abstract as a first author. Note that abstract submission will not be taken into consideration if payment of registration fees has not been made. From April 30th onwards, you will still be able to register, but abstract submission will be no longer possible.

In case that an abstract is not accepted, a full refund of the registration fees will be provided upon request

* Student Registration requires a valid documentation proving registered student status (student’s ID Card or a letter from the Head of Department/Director of Doctoral School prepared on the notepaper of the institution) should be sent to: info@easyconferences.eu

Notes:

  • Student/PhD Student Fee include: Access to all Conference Sessions, Daily Coffee Breaks, Daily Lunches, Welcome Reception, entrance to illusion/demo night, and entrance to farewell party. 
  • Full Student/PhD Student Fee (inc. Conf. Dinner) include: Access to all Conference Sessions, Daily Coffee Breaks, Daily Lunches, Welcome Reception, entrance to illusion/demo night, entrance to farewell party and conference Dinner.
  • Senior (Postdoc to Professor & Non Academic) Fee: Access to all Conference Sessions, Daily Coffee Breaks, Daily Lunches, Welcome Reception, entrance to illusion/demo night, and entrance to farewell party. 
  • Full Senior (Postdoc to Professor & Non Academic) Fee (inc. Conf. Dinner): Access to all Conference Sessions, Daily Coffee Breaks, Daily Lunches, Welcome Reception, entrance to illusion/demo night, entrance to farewell party and conference Dinner.
  • Accompanying Person Package includes the Welcome Reception, entrance to illusion/demo night, and entrance to farewell party. 

Cancellation Policy

  • Cancellation up to 5 days from when the notifications of acceptance/rejection will be send, is eligible for a full refund of the registration fee.
  • Cancellation on or before May 15th (2023): 100% of the registration fee is eligible for refund, with the exception of a € 50 handling fee.
  • Cancellation after May 15, (2023): 50% of the registration fee is eligible for refund, with the exception of a € 50 handling fee.
  • No refunds can be made for the cancellations received after July 01, (2023) or in the case of not participating.
  • Should you want to hand over your registration to a colleague, a handling fee of € 25 applies when your colleague falls in the same price category (or lower). When your colleague falls in a higher price category, the price difference plus a handling fee of € 25 applies.

Note: If the local organization has to cancel the onsite ECVP – which obviously happens only when it is absolutely necessary, e.g., in case of a new worldwide pandemic outbreak – ECVP participants will be reimbursed for a proportion of the fee after subtraction of all costs made. If this is more than 14 days before the planned start of the ECVP it will be approx. 80% of the fee. In the highly unlikely event that cancellation has to take place within 2 weeks before the conference, there will be no reimbursement of the fee, or only a small part thereof, again in such a way that all costs made by the ECVP organization are covered.

HOW TO REGISTER

Registrations will be done online through www.easyconferences.org. Participants may pay instantly using their credit card (VISA/MASTERCARD), or they may choose to pay through the bank. A one-stop-shop software is used for the whole registration process, www.easyconferences.org. The whole process is easy to use, secure, and can be completed in a few minutes.

Please note that the software provides participants with the possibility to complete the registration process in steps/periodically; participants may register for the conference and return later to book and pay for further services like accommodation, taxi transfers, etc (subject to availability). The system will accept unlimited changes/updates up to the closing of the online registration process before the start of the conference.
